If you’re new to a wardrobe management system, or you need more flexibility than the system you’re currently using offers, you’ll need to understand just how adaptable Smart Red actually is. Built especially for uniform and workwear suppliers, it’s designed to accommodate all your customers’ needs, for their different methods of controlling and approving their uniform orders.
Let’s look at the various options available for uniform controls.
Approvals
There are two ways to trigger approvals on Smart Red; the first is to turn on approvals for every order that comes through the system. Often clients choose this when they first implement the system to ensure everyone is happy using the platform. The second option is to trigger approvals only when people go above their allocated allowances. These allowances can be value, garment or points based.
1. Central approvals
The first type of approvals you can choose to select on Smart Red is ‘central’ approvals. This is where a procurement team, or a nominated group of people, would approve, amend or reject orders. This is easy to set up, and it means that customers can have multiple approvers. For uniform suppliers this means that orders are approved quickly, and a central point of contact is easily available in case you have any queries about orders.
2. Location based approvals
Similar to central approvals, a nominated person onsite usually would deal with all orders. Either ordering on behalf of the team, or overseeing orders, this option allows your customers to control their uniform budgets at location/cost centre/franchise level. This flexibility is vital for customers who’ll not be invoiced centrally, with the same vital functionality to approve/reject orders.
3. Hierarchical approvals
A more complex offering allows customers to use a hierarchy to select who can approve orders. This means someone’s direct line manager can manage their own team, whether they’re physically in the office with their staff or not. The benefit of using Smart Red is that, even though this is complex functionality, you can simply upload customers and their hierarchy in one document, and Smart Red pre-populates this all for you. Easy, quick, simple.
No approvals
It’s also entirely possible to set up Smart Red as a uniform ordering system, and not put any approvals in place. Some companies want to use the easy ecommerce-style ordering process with full audit history as the only way to ‘control’ costs, trusting staff won’t abuse the system. You can still take full advantage of the data gathered by the platform to budget and forecast accurately, you can still link with stock and delivery data, without having to implement any controls on spend at location or employee level. Whichever option you choose to set up clients, you know that Smart Red can accomodate them all.
