The Smart Red NetSuite extension seamlessly integrates with your NetSuite ERP, providing a flexible and scalable solution that adapts to your specific business needs. While NetSuite offers a comprehensive suite of features and functionality for stock, finance and reporting, it doesn’t have specific Uniform Management features which are critical for Uniform Suppliers and their customers.
The fundamental philosophy behind integrating both systems is to create a single, authoritative source of truth instead of entering data manually across multiple systems. Instead of your team duplicating efforts by updating the same information in multiple platforms, we'll intelligently pull the necessary data from NetSuite and push back only the most relevant information to create and manage orders. Smart Red handles all the intricate complexities of uniform management behind the scenes, ensuring that your team can focus on what matters most—keeping your workforce equipped to give your customers the best service in the market.
The following guide outlines the key NetSuite areas that are relevant to your uniform management system– but don't worry if you don't use all of these features. Our bespoke approach means we'll configure the integration to work with your existing processes. And we can scale up as your business does too.
Initial Set Up
With our own NetSuite interface, each NetSuite extension is configured, for a Sandbox and a Live environment, per customer. Once this is switched on, we match the NetSuite extension to integrate the core areas within Smart Red.

NetSuite Data
Your business will be used to creating and storing data within your ERP. To save you updating information in two places, the below information is controlled from NetSuite, and pulled through to Smart Red:
Items
• Item Record: The fundamental unit in NetSuite that represents products (items) and services (embroidery, print, etc).
• Matrix Items: Parent-child relationship for products with variations (size, colour, etc.).
• Assembly Items: Products that are built from multiple components (e.g. base product plus customisations).
• Kit Items: Bundled products sold together (e.g. hats with chinstraps).
• Inventory Items: Physical products tracked in stock.
• Non-inventory Items: Products not tracked in inventory (e.g. services, outsourced items).
Customer Records
• Customer: Main record containing customer information.
• Contact: Individual associated with a customer account.
• Customer Category: Classification system for customer segmentation.
• Price Level: Different pricing tiers assigned to customers.
Pricing Records
• Price Level: Different pricing tiers for products.
• Quantity Pricing: Volume-based pricing rules.
• Currency: Multiple currency support.
• Promotion: Discount and special offer rules.
Inventory Management
• Inventory Location: Physical or virtual storage location for items (used to check live stock levels per order).
• Bin: Specific storage location within a warehouse (to give accurate stock information when ordering).
• Available Quantity: Current stock available for sale.
• Committed Quantity: Stock reserved for sales orders.
• Back Ordered Quantity: Quantity promised but not in stock.
Financial Records
• Payment Method: Type of payment (credit card, PayPal, etc.)
• Tax Codes: ensuring clients in different locations are charged tax accurately.
Shipping Records
• Shipping Item: Record for shipping service
• Shipping Method: Defined shipping options, per customer (including price, method and other rules).
• Integrated Shipping: Connection to shipping carriers.
• Fulfilment Exception: Issues in order fulfilment (e.g. allowing for part-shipping).
Commerce Records
• Item Categories: Product classification for website, which can be used for portal navigation.
• Web Content: Areas to display content for online purposes, including product descriptions, product specifications, safety sheets etc.
Additional Areas
• Custom Fields: Additional fields added to standard records that are specific to each business. Examples include a ‘Name’ field on an item, if a name is to be added to a garment/name badge.
Smart Red Data
Your customers transact with you through the Smart Red Uniform Portal. Using its key Uniform Management features, all restrictions, approvals and allowances are controlled uniquely within Smart Red. Once an order has been placed, the Smart Red NetSuite extension instantly sends NetSuite the relevant information required to process and fulfil each order. The main areas that Smart Red 'push' to NetSuite are:
Transaction Records
• Sales Order: The primary record created when a customer places an order.
• Item Fulfilment: Record created when items are shipped to customers.
• Return Authorization: Record for managing customer returns, and ensuring it conforms with your agreed returns policy.
• Invoices: A record of the bills sent to customers for payment.
