Uniform Management System Jargon Decoded

Over the years of continually developing the Smart Red Uniform Management Platform, we’ve become used to the jargon and language of the uniform industry. This is in addition to the typical acronyms that we use every day in software development.

As a business, we try and talk in plain English to our clients. This ensures that all parties are very clear about the outcomes we’re looking to achieve. However, we may use one or two TLA (Three Letter Acronyms) in daily parlance, and we want to make sure you understand what they mean, and why we use them.

We’ve attempted to write a comprehensive list of the typical jargon used. These are often used by uniform wearers, suppliers and people running internal uniform programmes. 

Wardrobe Management Systems

For those not familiar with a Uniform Management System, common acronyms include:

1. UMS/WMS – Uniform Management System/Wardrobe Management System

An online system designed specifically for uniform, workwear & PPE ordering, that provides a secure comprehensive ordering system for corporate environments. See our website for a lot more detail!

2. RFID - Radio Frequency Identification

A technology used for tracking and identifying clothing items. Tagged items can be tracked when issued, returned and even dry cleaned. An easy way of keeping track of every item of uniform.

3. AI - Artificial Intelligence

Technologies and algorithms used in Uniform Management Systems to automate tasks, predict trends, and offer personalised recommendations.

4. SKU - Stock Keeping Unit

A unique identifier assigned to each clothing item. It’s made up of numbers and letters, and businesses use this to keep track of stock internally, once it arrives from a warehouse or distributor.

5. UPC – Universal Product Code

Similar to a SKU, a UPC is a numeric code that identifies a specific product. It can be used interchangeably across all businesses as the code is common to all.

ERP Systems

For those that are unfamiliar with ERP systems, and other external software that we commonly integrate with, here’s a breakdown of key acronyms that are used.

1. ERP - Enterprise Resource Planning

The overarching term referring to the software system that integrates and manages various aspects of a business, including finance, HR, inventory, manufacturing, and more.

2. CRM - Customer Relationship Management

Software or a module within an ERP system that focuses on managing customer interactions, sales, marketing, and customer service.

3. HRM - Human Resource Management

The module or functionality in an ERP system that manages employee data, payroll, benefits, recruitment, onboarding and offboarding of employees. This is often linked with a UMS to ensure new starters have uniform on their first day, and leavers return their uniform. 

4. BI - Business Intelligence

Tools within an ERP system that provide data analysis, reporting, and insights to support decision-making and strategic planning.

5. PIM - Product Information Management

A system or software used to centralise and manage product information, including attributes, descriptions, pricing, and images. PIM systems are often integrated with both ERP and Uniform Management systems to ensure consistent product data across platforms, without the need to constantly update the information.

6. SSO - Single Sign-On

A mechanism that allows users to authenticate once and gain access to multiple systems or applications seamlessly. SSO can be implemented to provide a quick login for a Uniform Management System, using internal logins as a user’s authorisation to access a UMS, without an additional password being needed.  

7. FTP - File Transfer Protocol

A standard network protocol used for transferring files. FTP can be utilised to exchange data files between e.g. an ERP and a UMS.

Software Development & Design

1. CMS - Content Management System

The part of an online platform that allows users to create, manage, and publish digital content on a website, including text, images and videos.

2. UI - User Interface

The visual elements and design components of a website or application that users interact with.

3. UX - User Experience

The overall experience and satisfaction of users when interacting with a platform, including its design, usability, and functionality.

4. API - Application Programming Interface

A set of rules and protocols that allow different software applications to communicate and instantaneously exchange data.

5. SSL - Secure Sockets Layer

A protocol that provides secure communication over the internet and is commonly used to secure websites (often referred to as HTTPS). This is essential for your platform/website to have if you’re taking client payments. 

6. PCI DSS - Payment Card Industry Data Security Standard

A set of security standards established by the Payment Card Industry Security Standards Council to protect cardholder data during payment transactions. All payment gateways that you choose should have this as standard to protect the security of users. 

7. XML - Extensible Markup Language

A markup language used for structuring and organising data in a format that can be read by humans and machines. XML is commonly used for data interchange between ERP and UMS.

The specific acronyms we use vary depending on the integration technologies, platforms, and requirements of each project we manage. As we said, we try and reduce technical jargon when speaking to our clients as much as possible, to reduce any confusion.
